10. SECRETARIAL & ADMINISTRATION
- This department is set up to ensure the Diocese
departments and institutions are meeting their objectives and operate within the
administrative and financial guidelines set forth by the diocese.
- The department also manages human resources, day-to-day operations and strategic planning for the diocese headquarters and works with the departments in their administrative needs.
- Additionally with the assistance of the Communications department acts as the coordinator and liaison for the clergy, laity, departments and institutions.
* Office of the Bishop
- The office of the Bishop responds efficiently and properly
to the rigorous demands associated with the overall duties of the Bishop. Tasks
include official and unofficial meetings with Clergy and Laity, public and
official appearances, conferences and travels.
- As well as initiation and coordination of meetings and
events involving the Bishop with local, national, and international civic,
cultural, academic, religious and political leadership.
- The office also handles special events which require
organization and coordination on the Diocese, parish and Ecumenical levels.
- In addition, this office processes all forms of
communication addressed to the Bishop and serves as the Bishop’s liaison with
various departments within the diocese, the institutions and the governing
bodies.
- The office of the Bishop will be staffed by Bishop’s
secretaries reporting to the Bishop.
* Correspondence Office
- This office is responsible for all official correspondence
in Arabic and English of the Office of the Bishop.
- The office assists the Bishop with the high volume of
correspondence addressed to him personally, ensuring that each piece of mail is
forwarded properly and receives an accurate and prompt reply.
- The office facilitates special correspondence from the
Bishop to various groups and individuals both within the Diocese and at large.
- This office should be staffed by an Arabic Correspondent /
Translator and English Correspondent.
* Vicar General‘s Office
- In the absence of the Bishop and where the Bishop is not
contactable, the Vicar General is responsible for such things as:
- Delegating priests to serve liturgy
where a parish priest has fallen ill
- Authority to sign and stamp the
“Church Consent to Marry Certificates”
- Greet VIP’s visiting diocese
- Attend any invitations on behalf of
the Bishop with permission of the Bishop
* Advisory Board
- Advisory board consists of all
clergy and the treasurer and secretary of each church and the Bishop will add
members to represent certain departments and institutions including youth reps.
- Main role of advisory board is to
assist with the administrative needs of Diocese and special projects and offer
recommendations.
- The Advisory board shall meet bi
monthly
